Flow Republic is committed to protecting your privacy and complying with the Privacy Act 1988 (Cth) (“Privacy Act”) and other applicable privacy laws and regulations.

This Privacy Policy (“the Policy”) describes how Flow Republic (“we”, “us”, or “our”) collect, hold, use and disclose your personal information, and how we maintain the quality and security of your personal information. 

The Policy applies whether you deal with us in-person, through www.flowrepublic.com.au or the associated mobile booking applications (“the Sites”) or otherwise communicate or engage the services of Flow Republic (“the Services"). 

For purposes of the Policy, "you" and "your" means you as the user of the Services, whether you are a customer, website visitor, or another individual whose information we have collected pursuant to the Policy.

By using any of the Sites or accessing the Services, you agree to the collection, use and disclosure of your information as described in the Policy. 

If you do not agree to the Policy, please do not use or access any of the Sites or Services. 

Changes to the Policy

We may update the Policy from time to time, including to reflect changes to our practices or for the operational, legal or regulatory reasons. 

What is personal information?

“Personal Information” means any information or opinion, whether true or not, and whether recorded in a material form or not, about an identified individual or an individual who is reasonably identifiable. In general terms, this includes information or an opinion that personally identifies you either directly or indirectly.

What Personal Information do we collect?

The Personal Information we collect about you depends on the nature of your dealings with us or what you choose to share with us. The Personal Information we may collect about you may include:

  • mailing or street address;

  • gender; 

  • date of birth;

  • email address; and

  • phone number.

Under certain circumstances, we may need to collect sensitive information about you. 

This might include any information or opinion about your racial or ethnic origin, political opinions, political association, religious or philosophical beliefs, membership of a trade union or other professional body, sexual preferences, criminal record, or health information (“Sensitive Information”).

If we collect your Sensitive Information, we will do so only with your consent, if it is necessary to prevent a serious and imminent threat to life or health, or as otherwise required or authorised by law, and we take appropriate measures to protect the security of this information.

You do not have to provide us with your Personal Information or Sensitive Information. However, if you choose not to provide us with your Personal Information and, where applicable your Sensitive Information, we may not be able to provide you with the Services or otherwise interact with you on the Sites.

How we collect your personal information?

We collect your Personal Information directly from you when you:

  • interact with us over the phone;

  • interact with us in person;

  • interact with us online;

  • participate in surveys or questionnaires;

  • attend a Flow Republic class, workshop, retreat or special event;

  • subscribe to our mailing list; and

  • apply for a position with us as an employee, contractor or volunteer.

Collecting personal information from third parties

We may obtain information about you from third parties, including from vendors and service providers who may collect information on our behalf, such as:

  • Companies who support our Sites and Services;

    Our payment processors, who collect payment information to process your payment on the Sites for the Services you have requested; and

    When you visit our Sites, open or click on emails we send you, or interact with our Sites or advertisements, we, or third parties we work with, may automatically collect certain information using online tracking technologies such as pixels, web beacons, software developer kits, third-party libraries, and cookies.

Any information we obtain from third parties will be treated in accordance with the Policy.

Information We Collect about Your Usage

We may also automatically collect certain information about your interaction with the Sites for the Services ("Usage Data"). To do this, we may use cookies, pixels and similar technologies ("Cookies"). We may use Cookies to power and improve our Site and our Services (including to remember your actions and preferences), to run analytics and better understand user interaction with the Sites and  Services (in our legitimate interests to administer, improve and optimise the Sites and Services). 

We may also permit third parties and services providers to use Cookies on our Sites to better tailor the Services, products and advertising on our Site and other websites.

Most browsers automatically accept Cookies by default, but you can choose to set your browser to remove or reject Cookies through your browser controls. Please keep in mind that removing or blocking Cookies can negatively impact your user experience and may cause some of the Services, including certain features and general functionality, to work incorrectly or no longer be available. Additionally, blocking Cookies may not completely prevent how we share information with third parties such as our advertising partners.

How do we use your personal information?

We use Personal Information for many purposes in connection with our functions and activities, including the following:

  • business and marketing partners to provide services and advertise to you. Our business and marketing partners will use your information in accordance with their own privacy notices.

  • when you direct, request us or otherwise consent to our disclosure of certain information to third parties, such as to ship you products or through your use of social media widgets or login integrations, with your consent.

  • with our affiliates or otherwise within our corporate group, in our legitimate interests to run a successful business.

  • in connection with a business transaction such as a merger or bankruptcy, to comply with any applicable legal obligations (including to respond to subpoenas, search warrants and similar requests), to enforce any applicable terms of service, and to protect or defend the Services, our rights, and the rights of our users or others.

Transfer of Personal Information Overseas

Some of the third-party service providers we disclose Personal Information to may be based in or have servers located outside of Australia, including in the United States of America. 

Where we disclose your Personal Information to third parties overseas, we will take reasonable steps to ensure that data security and appropriate privacy practices are maintained.

We may send you direct marketing communications and information about our Services, opportunities, or events that we consider may be of interest to you if you have requested or consented to receive such communications.

These communications may be sent in various forms, including mail, SMS, fax and email, in accordance with applicable marketing laws, such as the Australian Spam Act 2003 (Cth). 

You consent to us sending you those direct marketing communications by any of those methods. If you indicate a preference for a method of communication, we will endeavour to use that method whenever practical to do so.

You may opt-out of receiving marketing communications from us at any time by following the instructions to “unsubscribe'' set out in the relevant communication or by contacting us directly.

In addition, we may also use your Personal Information or disclose your Personal Information to third parties for the purposes of advertising, including online behavioural advertising, website personalisation, and to provide targeted or retargeted advertising content to you (including through third party websites).

Photography, Video and Media

Photographs and video recordings may be captured during classes, workshops, retreats, trainings and events in accordance with the Flow Republic Waiver and Informed Consent Agreement.

Protection of Personal Information

We will take reasonable steps to ensure that the Personal Information that we hold about you is kept confidential and secure, thus protecting it from misuse, loss and unauthorised access. 

Retention of Personal Information

We will not keep your Personal Information for longer than is required.

In most cases, this means that we will only retain your Personal Information for the duration of your relationship with us unless we are required to retain your Personal Information to comply with applicable laws, for example record-keeping obligations.

Accessing Your Personal Information

We will endeavour to keep your Personal Information accurate, complete and up to date.

If you wish to make a request to access and / or correct the Personal Information we hold about you, you should make a request by contacting us and we will respond as soon as is practicable.

Links to third party sites

Flow Republic’s website may contain links to websites operated by third parties. 

If you access a third party website through our website, Personal Information may be collected by that third party website. We make no representations or warranties in relation to the privacy practices of any third party provider or website and we are not responsible for the privacy policies or the content of any third party provider or website. 

Third party providers / websites are responsible for informing you about their own privacy practices and we encourage you to read their privacy policies.
